            Discussed one local area businessman who may be interested

            Discussion regarding Board of Trustee membership:

Regarding those members who have not yet attended a meeting. 

Need to contact those members and see if they still plan to be active members.

                       

Currently have 24 Board of Trustee Members

 3 openings available

 

Richard Honeck to amend By-laws accordingly to committee name changes and additions.

Jorge Rodrigues personally donated funds to cover the costs of the 501-3C processing.

 

$1250 donated at this time

            One expense: cost of printing checks at First Merit

Jorge Rodrigues, John Frola and Becky Burtoft to be on the account. 

Will need 2 signatures on checks.

**The Springfield Township Firefighters Union may want to combine efforts and run their scholarships through SSAF.

Carnival Plans :

            Items left from previous meetings if still pertinent to discussion in January

            Jorge met with Lakemore Community Group

                        NEW DATE:  May 6, 2006 is the date for the Community Day Event

                        Lakemore is planning the event this year (Springfield Fire and Trustees planned in 2005)

                        SSAF decided to participate with the Community Day event

rather than planning a separate event.

                        Hours of the event not yet decided and/or known

                       

Rides not possible this year – already booked other places

Bates and Kissel Brothers for rides  (Uniontown uses Bates)

            Bates will be at North High School Memorial Day weekend -           

Jorge plans to check them out for possible future use

 

Inflatables – made some contacts and plans are now to sponsor inflatables at May 6th event to

have an SSAF presence in the community.

            A Department from the State of Ohio regulates the Inflatables

            The company providing the inflatables will have insurance

 

            Sites: Lakemore Plaza – Water Works or other – not yet known ????

                                   

QUESTION raised:  This was reviewed at the meeting.

Are Board of Trustees liable for injuries at sponsored events?

            Rich Honeck response:

                        We cannot be sued as individuals just because we are members of the board.

If an individual at the event itself causes some type of harm –

then someone could sue that person.

                        Vendors carry their own insurance.

Ÿ     Discussion regarding Paul and Linda Doerr would make a donation in relation to their Quick Clean Car and Pet Wash.   Coupons would be used and then donate $1.00 to SSAF for every coupon used.  No action was taken.  Only discussion at this time.

 

Ÿ     Discussion regarding the $250 donation from Lucky Nugget.  Since some may view the Lucky Nugget as not appropriate to support SSAF, and vote was taken on if the donation should be accepted.  Dan Yost motion for a vote of acceptance.  Tabitha Cunningham seconded.

The vote was as follows:

                        11  YES                     1  NO              3   ABSTENTIONS

 

Discussion was conducted regarding if the vote was allowed since a quorum of the trustees was not present.  Jorge is consulting with Rich Honeck regarding the issue.  Trustee not present may be asked via e-mail to cast their vote regarding the acceptance of the donation.  The check will not be cashed until a final vote is conducted.

 

Requests from corporations will be made after 501-3C has been received.

 

Becky Burtoft wrote thank you notes to all donors.

 

Donation to School Levy Discussed  (changed item for previous minutes)

SSAF cannot make a donation as a foundation.  Any entity holding a 501 – C3 is not permitted to donate to a political issue.

 

 

Golf Outing Information

Committee presented detailed information

Bobby Dinkins created a flyer.  Specific details to be finalized and then flyers available to public.

Chief Sponsor being sought for $2500

$100 per person to golf (144 golfers desired) = 38 foursomes

Will have prizes for various categories (example longest drive, closest to pin, etc.)

Box lunch on course and steak dinner provided for golfers and drawing for prizes

Goodie bags with donated items and visor, towel, etc. will be created for each golfer

To be held at Chenoweth

            Chenoweth had lowest fees per person – 18 hole

            Approximately: $65.76 for golf – dinner – lunch – service charge

                                    $34.24 profit per person - potential

            Corporate Sponsors for holes, hole-in one, mulligans, skins planned

                        Date:  June 6th (all day – 10 a.m.)

3 on 3 Basketball – Tracy Fast and John Fast want to do this for SSAF at Dodds Park – no date yet

 

Halftime Event at basketball games for $1.00 not probable since other types of fund raising is conducted

Bobby Dinkins wrote letters to Presidents of the 3 unions associated with the school district about donations.

Jorge discussed creation of SSAF Letterhead/stationery with names of all Trustees on the side.

Those present were in favor.  Will contact other trustees via e-mail regarding being on stationery.

Dan Ternosky desires to participate in SSAF, but not as a Board of Trustee

Becky to develop a plan/budget draft from which to start. 

Ideas:  starting amount to donate each year.

Committee members are to develop an application form and process for students to apply.

To discuss how to do : one $1000 or two $500 scholarships
