á      Motion by Jorge Rodrigues to amend By-Laws to state that a minimum of 11 Board of Trustees

be present at monthly meetings in order for votes to be taken.

Golf Outing Information

Committee presented detailed information

 

13 players and 5 holes sponsors obtained at the time of the meeting

Detailed flyers posted on SSAF website

Registration date advertised on Springfield Channel and in Suburbanite

Bobby Dinkins created a flyer.  

Chief Sponsor: BFG Federal Credit Union  donated $2500

            Sponsoring 4 golfers ($400) - a hole ($100) and donated the following:

                        144 sleeves of ball

                        150 note pads

                        150 pens

                        150 bags

                        150 bags containing 5 tees each

                        Three $25 gift Cards to Macaroni Grille for Door Prizes

 

$100 per person to golf (144 golfers desired) = 38 foursomes

Will have prizes for various categories (example longest drive, closest to pin, etc.)

Box lunch on course and steak dinner provided for golfers and drawing for prizes

To be held at Chenoweth

            Chenoweth had lowest fees per person – 18 hole

            Approximately: $65.76 for golf – dinner – lunch – service charge

                                    $34.24 profit per person - potential

            Corporate Sponsors for holes, hole-in one, mulligans, skins planned

                        Date:  June 6th (all day – 10 a.m.)

                                    Shotgun Start – Scramble Format

 

Tina Dray was asked to check on towels and balls from First Merit.

8-12 volunteers needed to help with the Golf Outing on June 6th.

Grants Committee – Tabitha Cunningham, Chair

Becky Burtoft and Erin Burtoft shared a Draft of the Grant Request form.  Discussion and suggestions shared.  They are preparing a 2nd DRAFT version for May meeting.

 

Communications – Bobby Dinkins, Chair

Bobby Dinking is created a solicitation flyer and brochure about SSAF. 

Donor cards will be available at a later date.

Donation Levels:

            $1-$24                       Spartan Friend                     Corporate:     $500 -$999

$25-49                       Merit Roll                                                       $1000-$2499

            $50-$199                  Honor Roll                                                    $2500 plus

            $200 - $499              Valedictorian

           

Table at the Showcase of Schools on April 4th was manned the entire event.

Golf Outing information and SSAF Information was distributed.

 

 

Finance/Audit – Richard Honeck, Chair

Nothing new

Richard Honeck stated that a tax return for 2005 will need to be submitted to the Treasurer of the State of Ohio (990EZ)

Still in process:

Becky to develop a plan/budget draft from which to start. 

Ideas:  starting amount to donate each year. 

 

Scholarship Committee – Melissa Galloway, Chair

Nothing new at this time

 

NEW Project:

SSAF plans to provide a book for all students K-8 (maybe 9-12 too).

Jorge distributed times to work at the Scholastic Book store.

Approximately 2000 books are needed for K-8 students. (@900-1000 for the HS)

 

Trustees and members were to contact Jorge about working.

 

Other members would collect the books  & sort

 

It was approved that a special stamp be purchased to use on the inside cover of each book.  The new flyer about SSAF will also be placed in each book.

 

Cynthia will work with Jorge to have the books stamped.

 

Ann will handle the folding of the brochures.

 

All principals to be notified that the books would be coming and to develop a distribution plan.  Goal – to have books to principals by May 30th.
